A critical review of research or design information of comprehensive and well-defined scope.

Journal Manuscript Submission - entire pdf

All submitted manuscripts must be consistent with the purpose of ASAE as set forth in its Constitution and must not contain purely speculative matter. However, scientific evidence can be used to challenge current ideas or propose new ideas that will encourage progress and discussion. All material to be published must be free of evident commercialism or advancement of any private interest, and must neither obscure proper names required for an understanding of the subject matter nor contain material that can be used to imply Society endorsement of a product, service, etc. All material to be published must be free of personalities, either complimentary or derogatory.

Initial Submission

A completed
Manuscript Submission Form must accompany six single-sided, double-spaced copies of your manuscript, including copies of illustrations, with line numbers and page numbers on each page. Send them to:

Manuscript Coordinator
ASAE
2950 Niles Road
St. Joseph, MI 49085-9659

Do not include an electronic version of your manuscript until the review process has been completed and your manuscript has been accepted for final publication. You may wish to use the journal template at this point (see
Manuscript Templates). We can accept a variety of electronic file formats, but please keep the following in mind as you gather data and prepare your manuscript:

Word processing: Microsoft Word is preferred, but we can also accept Word Perfect.

Graphics: There are many different graphics formats, but the general rule is that if you can insert a file into Microsoft Word, then we will probably be able to use that file in our process. If you cannot insert the file, please provide us with the native electronic file and a high-quality paper printout. We can use Photoshop files but not Freehand or Illustrator. TIFF is recommended, and JPG is also fine, but digital photos must be at least 300 dpi (i.e., medium to high file size/quality).

Spreadsheet programs: We can use charts/graphs from Excel. If you are using another spreadsheet program, then try to "save as" Excel, if possible.

Presentation programs: We can extract images from PowerPoint.

Desktop publishing: We cannot use files created with page-layout programs such as Quark, PageMaker, etc.

Review Process

Transactions of the ASAE and Applied Engineering in Agriculture

When your manuscript is submitted for publication, it is processed through the prescribed review channels. There may be slight variations in the review process followed by each peer review group. In general, the steps in the review process are as follows:

1. The author submits six, clean, single-sided, double-spaced copies of the manuscript (including all text, figures, tables, and references) to the ASAE manuscript coordinator. Include a completed Manuscript Submission Form at this time. If necessary, the manuscript must be reviewed and approved by the author's organization prior to submission.

2. The ASAE manuscript coordinator assigns a manuscript number and forwards a copy of the manuscript submission form and abstract to the appropriate ASAE division editor.

3. The division editor responds to the manuscript coordinator with the name of the appropriate ASAE associate editor.

4. The manuscript coordinator sends four copies of the manuscript to the associate editor and one copy to the division editor.

5. The associate editor sends the manuscript to two or more qualified reviewers.

6. The reviewers send their comments and recommendations along with their copies of the manuscript back to the associate editor. NOTE: This peer-review process may take three months or longer.

7. The associate editor evaluates the reviewers' comments and recommendations along with the manuscript and makes one of the following recommendations:

Preliminary Acceptance: The anonymous reviews and the manuscript are returned to the author for revision. The author then returns the revised manuscript to the associate editor, who evaluates the revisions. If the revisions are adequate, the associate editor forwards the revised manuscript to the ASAE division editor for final evaluation and approval. If further revisions are recommended, the associate editor returns the manuscript to the author for additional revision.

Major Revisions: The anonymous reviews and the manuscript are returned to the author, as with preliminary acceptance. In some cases, the associate editor will send the manuscript and the reviewers' recommendations to the ASAE division editor, who will then handle the manuscript as with preliminary acceptance. This latter option protects the associate editor's anonymity when a manuscript receives significant criticism but could be accepted with significant revision.

Rejection: The anonymous reviews and the manuscript are returned to the author. The author is encouraged to resubmit a thoroughly revised manuscript.

8. The ASAE division editor evaluates the manuscript, reviews, and recommendations and either rejects manuscript or recommends publication. The ASAE manuscript coordinator and the author are notified of final acceptance or rejection.

9. The ASAE editorial staff sends an edited version of the manuscript to the author for review, followed by page proofs, prior to publication of the article. Only minor editorial and layout issues can be addressed during these proof cycles. If substantial changes are necessary, the manuscript will be returned to the appropriate ASAE division editor. Page charges are due on publication of the article.

NOTE: Edited manuscripts or page proofs that are not returned by the author within eight months of receipt will be rejected. Manuscripts rejected due to delays must be resubmitted as new manuscripts.

Journal of Agricultural Safety and Health

All manuscripts submitted to the Journal of Agricultural Safety and Health are reviewed by a minimum of three technically qualified reviewers. The steps in the review process are:

1. The author submits six, clean, single-sided, double-spaced copies of the manuscript to the ASAE Manuscript Coordinator. Authors must submit a completed Manuscript Submission Form at this time. The manuscript must be reviewed by the author's organization prior to submission. Glossy prints of illustrations or original ink or laser printed drawings are also submitted.

2. The manuscript coordinator assigns a manuscript number and sends five copies of the manuscript to the journal editor.

3. The journal editor reviews the manuscript for relatedness to scope, criteria, etc.

4. The journal editor sends four copies of the manuscript to one editorial board member.

5. The editorial board member has the option of either peer-reviewing the manuscript and sending it out for two additional technical reviews, or sending the manuscript out for three technical reviews.

6. All reviewers return comments and recommendations along with their copy of the manuscript directly to the journal editor. If the manuscript is:

Accepted, the journal editor sends comments, suggestions, and the manuscript back to the author for revision. After making the necessary revisions, the author returns the manuscript to the journal editor. If the revisions are satisfactory, the journal editor forwards the final recommendation and the manuscript to ASAE. The journal editor has the option to repeat steps 3 through 6.

Rejected, the journal editor returns the manuscript to the author, along with the reasons for rejection.

7. The ASAE editorial staff sends an edited version of the manuscript to the author for review, followed by page proofs, prior to publication of the article. Only minor editorial and layout issues can be addressed during these proof cycles. If substantial changes are necessary, the manuscript will be returned to the journal editor. Page charges are due on publication of the article.

Final Submission

When your manuscript has completed the review process and has been approved for publication, you will be asked by the Associate Editor to send an electronic copy (Zip disk, floppy disk, CD-ROM, or e-mail attachment) and paper copies of the final manuscript, including original illustrations. Please label everything with the ASAE manuscript number, title, and author name(s). These materials will be forwarded to ASAE headquarters for publication.

The electronic copy must correspond exactly to the paper copy. The preferred format is a Microsoft Word document, but ASAE editorial staff can convert WordPerfect documents. In addition to being inserted into your document, native files of photos in TIFF, JPG, and other formats are welcome (for more information, see the Style Guide).

Page Charges

Please note that authors are required to pay, at publication, a page charge based on the number of published journal pages. The current charge is $100 per 8.5 ?11 inch published page in Transactions of the ASAE and Applied Engineering in Agriculture, and $50 per 6 ?9 inch published page in the Journal of Agricultural Safety and Health. You will be advised of the total page charges when you receive the page proofs and billed when your article is published.

Reprints

One hundred reprints are provided at no extra charge, and additional reprints with custom covers may be ordered at publication.

All ASAE technical publications are posted to the ASAE Technical Library in HTML and PDF formats. Searches and abstracts are available to all users. Full text is available to ASAE members and to users affiliated with institutions that have purchased a site license

Journal Manuscript Format - entire pdf

Title

The title should briefly identify the subject and indicate the purpose of the document. The title should supply enough information for the reader to make a reliable decision on probable interest. A short informative title is preferred over a long obtuse one. Titles should not exceed 10 words, except in unusual instances. For example: a multi-part article should use a main title for the series and a unique subtitle for each part. Do not use all caps; instead:

Capitalize the first word of the title.

Capitalize the first letter of each word in the title except articles, prepositions, and conjunctions.

Center the authors' initials and last names directly below the title.

Abstract

The abstract provides a clear and concise summary of the information in an article. The abstract should include a hypothesis or rationale for the work, a brief description of the methods, a summary of the results, and a conclusion:

The topic sentence states the purpose of the research: What was studied? What hypothesis was tested?

A brief description of the methods should give the reader an idea of the general approach used by the researcher. The abstract should contain only enough about methodology to provide a context for the results.

A summary of the results should include the major trends and the most important results of the study. Data may be given to emphasize the results; group size, p-values, etc., should not be included.

A concise statement of the conclusions that can be drawn from the study completes the abstract. The researcher may wish to place the work in perspective by stating whether the report confirms or extends the findings of previous researchers.

The abstract should be less than 250 words. Do not include literature citations or references to tables, figures, or equations.

Abstracting and indexing services, such as CAB and Agricola, publish volumes of journal citations each year. Most of these services include abstracts. Brief, well-written abstracts from a specialized publisher, like ASAE, will be included more readily than lengthy abstracts that must be heavily edited.

Keywords

A short list of keywords or phrases should be included immediately after the abstract as index words. These words or phrases are used for indexing by ASAE and other indexing services. ASAE maintains a keyword list for terms that occur frequently in technical material related to agricultural and biological engineering, but you are not limited to this list. Choose keywords that reflect the content of your article. Note that words in the title are not searchable as keywords unless they are also included in the keyword list.

Article Notes

In published articles, the article notes appear as a footnote at the bottom of the first page. In your manuscript, use the article notes to:

Indicate if the information contained in the article was previously presented at an ASAE conference or international meeting or in another organization's publication.

Indicate manuscript approval by your sponsoring organization or employer, if necessary, and list any disclaimers.

List the full names, ASAE membership, professional titles, and professional affiliations and locations for all authors.

List the contact information for the corresponding author, including the full mailing address, phone and fax numbers, and e-mail address.

Body of the Article

The introductory section of the text should include a brief statement of why the research was conducted. It should also define the problem and present objectives (including a description of the subject, scope, and purpose) along with a plan of development of the subject matter. The introductory section also usually includes a brief survey of the relevant literature on the topic.

You will want to organize the text in a manner that can be easily understood by the reader. Depending on the subject matter, this organization may be chronological, spatial, geographical, or any other sequence that develops logically. Manuscripts may be written in either the first or third person. However, avoid passive voice: write "we studied the effects" rather than "the effects were studied."

Clearly indicate subdivisions of the main body with headings and sub-headings, but do not use more than three levels of headings. Subheadings facilitate comprehension for all readers and provide a quick summary for the scanning reader. The following are typical headings in a journal article:

Materials and Methods

Provide sufficient detail so that the work may be repeated. Do not give details of methods described in readily available sources. Instead, refer to the source and describe any modification. Figures that illustrate test apparatus and tables of treatment parameters or equipment specifications are appropriate here.

Results and Discussion

This section describes the solution to the problem stated in the introductory section. Use figures and tables to visually supplement the presentation of your results. The text must refer explicitly to all visuals, and you must interpret the visual elements to emphasize the evidence on which your conclusions are based. Do not omit important negative results.
In addition, relate your findings to previous findings by identifying how and why there are differences and where there is agreement. Speculation is encouraged, but it must be identified. Any controversies should also be presented clearly and fairly.

Conclusions

This is a summary of your results. In this section, state any conclusions that can be drawn from your data. You may also include suggestions for future research. The conclusion may be a subsection of the Results and Discussion section, or it may be a separate section. Data or statements cited in your conclusion must have been stated previously in the article. Do not introduce new information in the conclusion.

Acknowledgements

Acknowledgements are optional. Use them to thank individuals or organizations that provided assistance in materials, expertise, or financing. The acknowledgements will appear at the end of the text and should be limited to one or two sentences.

References

All sources cited in the text must be listed in the References, and all documents listed in the References must be cited in the text. ASAE generally follows the Chicago style, with a few exceptions. Click here for sample References.

Appendix

Use an appendix for material that is too long to include in the text of the article. An appendix is often used to list and define the terms used in equations. In such cases, the appendix is usually called "Nomenclature."
