Instructions to Authors

The International Journal of Radiation Oncology * Biology * Physics (IJROBP) publishes original laboratory and clinical investigations related to radiation oncology, radiation biology, and medical physics. The IJROBP is published 15 times annually by Elsevier Inc., New York. The IJROBP uses as a guide the "Uniform Requirements for Manuscripts Submitted to Biomedical Journals," 5th ed (N Engl J Med 1997;336:309-315) as well as the American Medical Association Manual of Style, 9th ed. It is a condition of publication that manuscripts submitted to the IJROBP have not been published and will not be simultaneously submitted or published elsewhere. All manuscripts submitted to the IJROBP are subject to peer review and only those that are of the highest scientific quality are accepted for publication. Manuscripts should be directed to the Editor-in-Chief at the address below: James D. Cox, MD, Editor-in-Chief, International Journal of Radiation Oncology * Biology * Physics, Department of Scientific Publications-227, 1515 Holcombe Blvd, Houston, TX 77030. Address for courier and overnight mail (FedEx, Airborne, DHL, Express Mail, UPS) packages: Same as above, except the following street address: Room HMB9.125, 1100 Holcombe. Telephone: 713-792-6014, Fax: 713-794-1120 or 713-792-6016.

Manuscript Preparation
The author should submit an original and 3 copies of the manuscript, typed double-spaced, on one side of 8? x 11" white bond paper, with 4 complete sets of original figures (no copies). All manuscripts must be accompanied by a transmittal letter bringing to the attention of the Editor-in-Chief any information that might affect consideration of the manuscript; this may include but is not limited to disclosures of financial or other interest (see the section on Conflict of Interest). Manuscripts lacking sufficient elements for review will be returned to the author. The author should retain a copy of the submitted and any revised versions of the manuscript (in paper and disk form) and a complete set of figures (original and revised) for reference. In the case of revised manuscripts, the author will be instructed to provide the manuscript in paper and disk form (see below). In the case of rejected manuscripts, one copy of the manuscript and all available sets of figures will be returned to the author. The IJROBP is not responsible for loss of manuscripts or figures.

Rapid Communications. These are manuscripts that are extremely timely and of utmost importance, and which the Editor-in-Chief deems appropriate for rapid publications. Rapid Communications cannot exceed 1500 words, any combination of 4 figures and/or tables, and 15 references. Envelopes should be labeled RAPID REVIEW on the outside. These manuscripts will be reviewed by two expert reviewers within 48 hours of receipt, and th authors will be notified of their status within 72 hours. Accepted manuscripts will be published in the next available issue of IJROBP. The submission/processing fee for Rapid Communication article is $400.00 (to be used as honoraria for rapid reviewers). Please make the check payable to Elsevier Science Inc. In the event that Editor-in-Chief believes an article submitted as a Rapid Communication does not warrant rapid review and publication, the submission fee will be returned to the authors and the authors may then choose whether to have the manuscript continue through the standard IJROBP review process. Please note that the rapid review process pertains to Rapid Communications only.

Copyright Transfer. The author will be required to sign a copyright transfer form, which will accompany page proofs of the article.

Title Page. The title page should include a concise but informative title; a complete byline (see Authorship below), including each author's full name and highest earned academic degrees; each author's complete affiliation(s), including department(s), institution(s), city, state, and country; the name and complete mailing address, phone number, fax number, and e-mail address of the corresponding author (to whom all correspondence and reprint requests will be directed); acknowledgment of grant or other financial support, disclaimers, meeting presentation, or assistance with manuscript preparation or data collection; and shortened running title.

Authorship. According to the "Uniform Requirements," all persons designated as authors should qualify for authorship. Each author should have participated sufficiently in the work to take public responsibility for its content.

Authorship credit should be based only on substantial contributions to (1) conception and design, or analysis and interpretation of data; and to (2) drafting the article or revising it critically for important intellectual content; and to (3) final approval of the version to be published. Conditions 1-3 must all be met. Participation solely in the acquisition of funding or the collection of data does not justify authorship. General supervision of the research group does not justify authorship. Any part of an article critical to its main conclusions must be the responsibility of at least one author.

In the case of corporate authorship, all members of the group must meet all criteria to justify authorship and inclusion in the byline. Those who do not meet these criteria should be listed (with their permission) in the Acknowledgments.

The order of authorship must be agreed to by all co-authors before the manuscript is submitted for consideration.

Any changes in authorship following submission of a manuscript must be explained in a letter to the Editor-in-Chief that is signed by all co-authors to indicate their consent to the change. This includes the deletion and addition of authors as well as any change in the order of authors.

Abstract. The author should provide a structured abstract of no more than 200 words, using the following subheadings: Purpose, Methods and Materials, Results, and Conclusions. Review articles may not require all abstract subheadings. The abstract should be followed by no more than 5 specific Key Words for indexing.

Text. Each page of the manuscript (except the title page, which is page 1) should be identified with the first author's last name and the page number in the top right-hand corner. This format should be utilized throughout the text, references, figure legends, and tables. The text should follow the standard format of Introduction, Methods and Materials, Results, and Discussion. The manuscript should be organized in the following sequence: title page, abstract, text, references, figure legends, and tables.

Conflict of Interest. IJROBP adheres to the policy on conflict of interest promulgated by the International Committee of Medical Journal Editors, which states, in part, that, "to prevent ambiguity, authors must state explicitly whether potential conflicts do or do not exist. Authors should do so in the manuscript on a conflict of interest notification page that follows the title page, providing additional detail, if necessary, in the accompanying cover letter." The complete policy has been published in IJROBP (2002;52:587--588), and can also be accessed at the following Web site: www.icmje.org.

Permissions. Quotations must be accurate, and full credit given to their source. The author is responsible for obtaining in writing the permission of the publisher and/or copyright holder to reprint in the IJROBP any material that has been previously published. Reference to personal communicaton must be included in the text using the following form (name, degrees of the person[s] with whom the author has communicated, written or oral communicaton, month, and year). Reference to unpublished data should follow a similar format (name, degree, unpublished data, month, year). The author must obtain written permission from the source to use such information. Copies of letters granting such permission must be submitted with the manuscript.

Ethics. When reporting on human subjects, the author must indicate whether the procedures followed were in accordance with the ethical standards of the responsible committee on human experimentation (institutional or regional) and with the Helsinki Declaration of 1975, as revised in 1983. Patient anonymity must be ensured at all times; do not use patient names, initials, hospital numbers, or other identification in the manuscript, tables, or figures. In clinical photographs, identities of patients should be masked or otherwise cropped. Written consent forms from patients must accompany all photographs in which there is any possibility of identification of the patient. When reporting experiments on animals, the author must indicate whether the institution's or a national research council's guide for, or any national law on, the care and use of laboratory animals was followed.

References. References should be cited and numbered in consecutive numerical order as they first appear in the text, and listed in consecutive numerical (not alphabetical) order in the reference list. All material submitted to the journal must be typed double-spaced, including the reference list. All bibliographic information must be complete and accurate. The author is responsible for the accuracy of all references. The following reference style must be used, and the author should also refer to the "Uniform Requirements" and American Medical Association Manual of Style for other examples and conventions.

Journal references should be given in the following order: author(s) surnames and initials, i.e., the names of first three authors followed by et al.; article title (with subtitle if any), journal abbreviation in italics, year, volume number, part or supplement number, and inclusive page numbers. If the paper has been seen only in abstract, this should be indicated at the end of the original reference by the addition of the abbreviation (Abstr). Likewise if reference is to a volume with a supplement, the supplement number with the abbreviation (Suppl) should be included. References to books must include the names of the authors, title, edition number, city of publication, publisher, and year. References to chapters in books must include names of editors and chapter title after the name(s) of author(s) and book title. Reference examples follow:

AMA NUMBERED Style

4. Phillips SJ, Whisnant JP. Hypertension and stroke. In: Laragh JH, Brenner BM, editors. Hypertension: pathophysiology, diagnosis, and management. 2nd ed. New York: Raven Press; 1995. p. 465-478.

Figures. The author should include figures that enhance not duplicate the textual presentation. Figures should be consecutively numbered (Arabic numerals) as they appear in the text and accompanied by legends (see below). Four complete sets of unmounted, untrimmed figures, preferably no smaller than 3? x 5" nor larger than 8" x 10", should be submitted with the original manuscript. The author will be instructed regarding submission of revised figures. Four-color figures may be submitted, but the author must assume all costs for separation and printing; an estimate of those costs will be sent to the author by the publisher. Generally, the charge is $974.00 per page regardless of the number of color figures on the page. All figures must be labeled on the back with an adhesive label that includes the first author's last name and figure number. The TOP of the figure should be indicated. The author should provide high-quality black and white (halftone) or 4-color photographs and may submit high-quality laser-printer generated graphs. Copies of figures (halftones, color, or graphs) are not acceptable for review or production purposes. Lettering should be uniform and of sufficient size for readability when reduced for publication. Patient anonymity must be ensured at all times; do not use patient names, initials, hospital numbers, or other identification in the figures. In clinical photographs, identities of patients should be masked or otherwise cropped. Written consent forms from patients must accompany all photographs in which there is any possibility of identification of the patient. Unsuitable figures will be returned to the author for correction or substitution. For further details in the preparation of artwork that is acceptable for publication, please go to www.elsevier.com/locate/authorartwork.

Figure Legends. Complete, explanatory and descriptive legends must be provided for all figures. The legends must correspond to the consecutively numbered figures and be typed double-spaced on separate pages at the end of the text preceding the tables. All abbreviations or other letter designations used in the figures must be defined in the legend to that figure. Magnification and staining materials should be indicated. Acknowledgment to previously published material should be given in the legend, and the source should be included in the reference list. (See Permissions.)

Tables. Tables should be numbered consecutively in the text and typed double-spaced on separate pages at the end of the manuscript. The table number (Arabic numeral) should be followed by a brief specific title. The data should be self-explanatory and supplement, not duplicate, the text. Acknowledgment to previously published material should be given in a footnote to the table, and the source should be included in the reference list. (See Permissions.) All abbreviations used in the table must be defined in the footnotes. Footnotes should be ordered as they first appear in the table with the following symbols: * (asterisk), (dagger), (double dagger), ?(section mark), (parallel lines).

Computer Disks. Authors are encouraged to submit a 3? HD/DD computer disk to the editorial office. Please observe the following criteria. Send only hard copy when first submitting your paper for acceptance and review. When your paper has been refereed, revised if necessary, and accepted, send a disk containing the final version with the final hard copy. If the disk cannot be converted, the hard copy version will prevail. The author is responsible for the accuracy of all versions of the manuscript and disk. Specify what software was used, including which release, e.g., WordPerfect 6.1. Specify what computer was used (IBM compatible PC, Apple Macintosh, etc.). The article file should include all textual material (text, references, tables, figure captions, etc.) and separate illustration files, if available. The file should follow the general instructions on style/arrangement and, in particular, the reference style of this journal as given in the Instructions to Contributors. The file should be single spaced and should use the wrap-around end-of-line feature, i.e., returns at the end of paragraphs only. Place two returns after every element, such as title, headings, paragraphs, figure and table callouts. Be sure to keep a back-up disk for reference and safety.
