Instructions to Authors

Manuscripts: Original manuscripts for consideration should be sent to the Editor:

Dr LS Illis
Wessex Nuffield Hospital
Chandlers Ford
Eastleigh
Hampshire SO53 2DW, UK
Tel: +44 23 80 275353
Fax: +44 23 80 275354
E-mail:
spinal.cord@virgin.net

An electronic copy of the manuscript must accompany each submission on floppy disk or CD Rom, containing all manuscript files e.g. text, tables, figures etc.
The manuscript should be typed on one side only, double spaced and with a margin of 4 cm on paper size A4. Name(s) of author(s) should be supplied with a full postal address and fax number together with their full qualifications. The name(s) of the author(s) should appear under the title of the paper with his or her degrees. A running title should also be supplied.

As a rule, papers should be divided into sections, headed by a caption (eg Introduction, Methods, Results, Conclusions) and should include a structured abstract in English at the beginning of the paper. Authors should conform to the style and layout in the current issue of the journal ie tables and references. Up to six keywords, as are used in the Index Medicus, should be given. Authors are requested to use abbreviations only after the word(s) have been used fully, eg spinal cord injury (SCI).

Authors are strongly recommended to utilise the ASIA/IMSOP scales of international standards which were published in Spinal Cord 1997; 35: 266-274.

Please note that authors of manuscripts and letters etc submitted for consideration for publication in Spinal Cord are not required to be members of the International Spinal Cord Society (ISCOS).

Short Communications: These will be peer reviewed in the normal way but they must be kept strictly to a limit of 900 words or 680 words plus 1 diagram or table or illustration. The number of references should be kept to essential references only.

Copyright: In order for us to ensure dissemination and copyright protection of material published in the journal, copyright must be explicitly transferred from author to the International Spinal Cord Society. A copy of the copyright transfer agreement to be used for the journal is reproduced in most issues. Extra copies are available from Dr LS Illis, Editor of Spinal Cord, at the above address, or authors may photocopy the agreement reproduced in the journal. A copy of this agreement signed by the author, must accompany every article submitted for publication.

Structured abstract: All regular papers should be prepared with a structured abstract designed to summarise the essential features of the paper in a logical and concise sequence under the following headings: Study Design: Objectives: Setting (ie country and/or county or state): Methods: Results: Conclusion: Sponsorship (where applicable): Keywords.

References in the text are to be numbered consecutively in the order in which they appear (ie the Vancouver style). Identify by superscript Arabic numerals. References cited only in tables or figure legends should be numbered in a sequence established by the first identification in the text of the table or figure.

Reference list: Type in double spacing. List references in numerical order of appearance in the text. For each reference quote name and initials of author(s), title of paper, abbreviated title of journal, year of publication, volume number and first and last page numbers. If a book is quoted, the publisher, place and year of publication should be included.

eg

1.      Fawcett JW. Factors influencing the regeneration of axons in the central nervous system. Paraplegia 1991; 29: 287-293.

2.      Hughes JT. Pathology of the Spinal Cord. In: Smith A (ed). Surgery for Pathologists. 2nd edn. Churchill Livingstone: Edinburgh 1978, pp 315-316.

Illustrations: Photographs, micrographs and radiographs should be printed on glossy paper; three copies of each illustration should be submitted unmounted and clearly marked on the back in pencil with the title of the paper and author's name. Figures and diagrams should be numbered consecutively as Figure 1, Figure 2, etc. Lettering should not be handwritten. Lettering should be done on line drawings, for which good stencils are obtainable; ie on the drawings themselves and not on covering transparent paper. Legends to illustrations should be typed on a separate sheet of paper.

Equipment: Authors should provide the name of the manufacturer and their location of specially named medical equipment and instruments.

Patient confidentiality: Where illustrations must include recognisable individuals, living or dead and of whatever age, great care must be given to ensure that consent for publication has been given. If identifiable features are not essential to the illustration please indicate where the illustration can be cropped. In cases where consent has not been obtained and recognisable features may appear it will be necessary to retouch the illustration to mask the eyes or otherwise render the individual 'officially unrecognisable'.

Tables: Should be unlined and typed on separate sheets of paper. They should be numbered consecutively in Arabic numerals.

Supplementary information
Supplementary information is peer-reviewed material directly relevant to the conclusion of an article that cannot be included in the printed version owing to space or format constraints. It is posted on the journal's web site and linked to the article when the article is published and may consist of data files, graphics, movies or extensive tables.
The printed article must be complete and self-explanatory without the supplementary information. Supplementary information enhances a reader's understanding of the paper but is not essential to that understanding.
Supplementary information must be supplied to the editorial office in its final form for peer review. On acceptance the final version of the peer reviewed supplementary information should submitted with the accepted paper. Supplementary information is not subedited, so authors should ensure that it is supplied ready for publication online.
To ensure that the contents of the supplementary information files can be viewed by the editor(s), referees and readers, please also submit a 'read-me' file containing brief instructions on how to use the file.
The supplementary information may not be altered, nor new supplementary information added, after the paper has been accepted for publication.

Supplying supplementary information files
Please supply the supplementary information via eJP, the electronic manuscript submission and tracking system, in an acceptable file format (see below).
Authors should:

  • Include a text summary (no more than 50 words) to describe the contents of each file.
  • Identify the types of files (file formats) submitted.
  • Include the text 'Supplementary information is available at (the journal's name)'s website' at the end of the article and before the references.

Accepted file formats:

  • Quick Time files (.mov)
  • graphical image files (.gif)
  • HTML files (.html)
  • MPEG movie files (.mpg)
  • JPEG image files (.jpg)
  • sound files (.wav)
  • plain ASCII text (.txt)
  • Acrobat files (.pdf)
  • MS Word documents (.doc)
  • Postscript files (.ps)
  • MS Excel spreadsheet documents (.xls)

We cannot accept TeX and LaTeX.
File sizes must be as small as possible, so that they can be downloaded quickly. Images should not exceed 640 x 480 pixels (9 x 6.8 inches at 72 pixels per inch) but we would recommend 480 x 360 pixels as the maximum frame size for movies. We would also recommend a frame rate of 15 frames per second. If applicable to the presentation of the supplementary information, use a 256 colour palette. Please consider the use of lower specification for all of these points if the supplementary information can still be represented clearly. Our recommended maximum data rate is 150 KB/s.
The number of files should be limited to eight, and the total file size should not exceed 3 MB. Individual files should not exceed 1 MB. Please seek advice from the editorial office before sending files larger than our maximum size to avoid delays in publication.
Further questions about the submission or preparation of supplementary information should be directed to the editorial office.

Offprints: Twenty-five offprints will be sent to the first named author only. Further copies will be provided at the rates stated in the official order form which must be returned with the corrected proofs.

Proofs: Proofs will be sent to the corresponding author by e-mail. These should be corrected carefully and returned to the publisher without delay. Alterations in print are costly and, apart from verbal correction, will be charged to the author. Papers cannot be published without a returned and corrected proof.

The editors cannot accept responsibility for damage to or loss of papers submitted to them. Contributors are advised to keep copies of their manuscripts and illustrations.

Licence to Publish: On acceptance, or once a decision has been made on the paper, the author will be sent a Licence to Publish form. This must be signed and faxed back to the Editorial Office before publication of the manuscript. Contact details will come with the form. Your paper cannot be processed until we have received this form.
