About the journal
|
The Southern Medical Journal is distributed to the 16 southern states and the District of Columbia, which comprise the Association's membership territory. Much more than a regional journal, however, this is one of the most influential medical publications in the world, with subscribers throughout North America, in Australia, and in numerous European, South American, Asian, and African nations-because doctors everywhere need the latest medical information. The Journal brings practicing physicians from around the globe the knowledge that enables them to provide the best possible care to patients in this age of rapidly changing modern medicine.

Instructions to Authors
Manuscripts are considered for publication in the Southern Medical Journal with the understanding that they, or their essential substance, have neither been published nor simultaneously submitted for publication elsewhere.
Submission
A covering Letter of Transmittal should indicate the name, address, telephone number, fax number, and e-mail address of the author who will serve as correspondent. Please include the names, affiliations, addresses, telephone numbers, and e-mail addresses of three potential reviewers. Send three copies of the complete manuscript (text, references, tables, figures, and legends) to:
Ronald C. Hamdy, MD, Editor, Southern Medical Journal Southern Medical Association 35 Lakeshore Drive PO Box 190088 Birmingham, AL 35219-0088 Phone: (800) 423-4992 Fax: (205) 945-1548 E-mail - Publications Office:education@sma.org E-mail - Editor's Office: smjedit@etsu.edu
A Manuscript Submission Agreement signed by all authors should accompany the manuscript. If a Manuscript Submission Agreement does not accompany the manuscript or if the other requirements detailed herein are not met, the Journal will notify the corresponding author that the manuscript will not be considered for publication unless all these requirements are fulfilled. Accepted articles become the permanent property of the SMJ and may not be published elsewhere without its permission. Rejected manuscripts will not be returned; illustrations will be returned only upon specific request. Articles are subject to editing for clarity, consistency, and syntax, but authors remain responsible for the statements in the work, editorial changes, and accuracy of references. The corresponding author will receive an electronic proof via the Internet for approval. Instructions for the return of proof changes will be included in the file.
Financial Disclosure
Authors must acknowledge all financial support or provision of supplies used in their study. The title page of the article should include a footnote supplying grant or contract numbers and the complete name and location of the funding agency or institution.
Proprietary Statement
Authors must submit a confidential statement on the title page of the article specifying whether they have any commercial or proprietary interest in any drug, device, or equipment mentioned in the submitted article. This statement must also identify any financial interest any author might have (as a consultant, stock owner, employee, evaluator, etc) in any item mentioned in the article. The Editor will decide whether this information will be published.
Institutional Review Board Approval
Articles reporting the results of experimentation should clearly state on the title page of the article that institutional review board approval was received.
Categories of Scientific Articles
- Original Articles - A scientific study of a certain question; usually follows the AIMRAD format:
- Abstract-see following page;
- Introduction-statement of the problem or question;
- Material and Methods-how the problem was studied;
- Results-what was found in the study; and
- Discussion-what the findings mean; followed by a
- Conclusion-a brief summary of the paper.
The average length of an Original Article is 2,000 to 4,000 words (excluding tables, figures, and references). Articles reporting the results of experimentation should clearly state that institutional review board approval was received. Original Articles should be preceded by a structured abstract formatted under the following four headings: Background, Methods, Results, and Conclusions. The Abstract should not duplicate the introduction.
- Review Articles - A review of a given condition highlighting recent information. The average length of a Review Article is 3,000 to 4,000 words.
- Case Reports - Usually an individual report of an interesting case, although there can be more than one. The average length of a Case Report is 750 to 1,000 words, excluding illustrations and references. Regardless of the number of cases reported, this article follows an ICDC format:
- Introduction-what will be presented in relation to what is already known;
- Case Report(s)-brief account of the clinical case(s);
- Discussion-relation of this case to those reported previously;
- Conclusion-summary of what was presented.
- Editorials - Brief essays on topical issues. Editorials should be philosophical rather than scientific in nature and should stimulate the readers to consider controversial issues. The average length of an Editorial is 500 to 750 words, not including references, which should number about 6.
- Letters to the Editor - Comments on recent published articles, or a brief case report. The average length of a Letter to the Editor is 300 to 400 words; it should not contain more than 5 references.
- Fillers - The SMJ regularly publishes "fillers," which include quotations or interesting facts. Readers are encouraged to submit fillers. Full reference of the quotations or reported facts must be included. The contributing person, as well as the original source, will be acknowledged.
- Special CME Features - Special CME Features centered on a particular topic include a brief overview of the topic, a summary of relevant consensus conferences, selected published guidelines, a review of commonly prescribed medications, an annotated bibliography, selected resources available, and published books. Although contributions to this section are usually by invitation, interested parties should contact the Editor to discuss their interest.
Organization of the Paper
- Page 1-Title Page - Each manuscript should begin with a title page containing:
- A concise title;
- Name(s) of the author(s), including first name and academic degrees;
- Name of the department and institution in which the work was done;
- The name and address of the author to whom reprint requests should be addressed;
- Disclosure of all financial support;
- Statement of proprietary interest;
- For Original Articles reporting experimental results, statement of institutional review board approval.
- Page 2-Description of Manuscript - Each submission should include:
- Category of manuscript (see above);
- Brief description of manuscript (50-100 words). This brief narrative will be included in the Table of Contents and will be available on the Southern Medical Association web site at www.sma.org/smj. The full text of the papers on the website is restricted to members of the SMA and to subscribers of the SMJ.
- Key points (3 to 5 separate sentences summarizing the key points); and
- Key words (3 to 5).
- Page 3-Abstract and Acknowledgments - All articles except Editorials and Letters to the Editor should be preceded by an abstract of not more than 150 words. Structured abstracts are required for Original Articles and should be formatted as described above.
A separate acknowledgment paragraph should disclose all assistance in preparation of the manuscript. Publication of any acknowledgment is the prerogative of the Editor.
- Page 4 and Subsequent Pages - Body of the paper, references, tables, illustrations, and, if necessary, permission letter(s).
Format
Double-space all copy. Each page should be prepared in 12-point type and should have 1-inch margins on all sides. Abbreviations and Nomenclature:
Abbreviations should be kept to a minimum; terms should be spelled out on first mention, with the abbreviation immediately following in parentheses. Generic names of drugs should be used. If proprietary names are included, they should be capitalized and enclosed in parentheses after the generic name. Measurements should be expressed in the metric system. Submission:
Send three copies of the complete manuscript, including text, references, tables, figures, and figure legends. Electronic files are not needed at the time a manuscript is submitted. Authors of accepted articles will be asked to send the final, revised version of the manuscript on disk. Do not use special table formats, footnoting programs, or illustrations within the electronic file. The disk label should indicate the first author's name, manuscript title, operating (computer) system, and word processor (software) used. It is essential that electronic files exactly match the printout of the final, revised manuscript. Style
With a few exceptions, the style for the SMJ is based on the Manual of Style of the American Medical Association. Further details on manuscript preparation are also given in the document "Uniform Requirements for Manuscripts Submitted to Biomedical Journals," prepared by the International Committee of Medical Journal Editors, Ann Intern Med 1997; 126:36-47. References:
References must be double-spaced and numbered consecutively as they are cited. List the names and initials of the first three authors, followed by et al if there are more than three. Personal communications and unpublished data may not be included as numbered references but may be footnoted in the text. Examples of reference style:
- Fonseca V, Munshi M, Merin LM, et al: Diabetic retinopathy: a review for the primary care physician. South Med J 1996; 89:839-850
- DiMaio DJ, DiMaio VJ: Forensic Pathology. New York, Elsevier, 1989, pp 368-376
- Bowman JM: Hemolytic disease. Maternal-Fetal Medicine: Principles and Practice. Creasy RK, Resnik R (eds). Philadelphia, WB Saunders Co, 3rd Ed, 1994, pp 711-743
Tables:
Consecutively numbered and cited tables should be supplied double-spaced on separate pages and should have adequately descriptive titles. Abbreviations and symbols must be explained in footnotes. Tables should not duplicate material in the text. Excessive tabular data are discouraged. Illustrations:
All figures must be consecutively numbered and cited. They must be professionally drawn or photographed and submitted as high-contrast black and white images (preferably 5 x 7 inches) in triplicate. A label on the back of each figure should show the name of the first author, the figure number, and the top of the figure. Prints should not be mounted, stapled, or clipped. Photographs of patients must have identifying features masked or be accompanied by copies of signed permission for their use. If photomicrographs are submitted, the magnifications and stains should be stated in the legends. The cost for color reproduction must be borne by the author. Figure legends should be supplied double-spaced on a separate page. Illustrations will be returned only upon specific request. Authors are encouraged to submit their figures in digital form on a CD. Figures MUST be on a CD separate from the text. It is extremely important that the proper resolution and application software be used when creating your figures. The minimum resolution requirements for black/white are 1200 DPI for lineart (images that are purely black/white); 300 DPI for halftones (images only); and 600 DPI for combination halftones (images and labeling). Color figures must be CMYK-RGB is not acceptable for printing. Graphics from the Web are not high enough resolution for printing. For more information about digital art guidelines, please visit our printer's website athttp://cpc.cadmus.com/da.
Permissions
Material from other sources must be accompanied by a written statement from both the author and the publisher giving the SMJ permission to reproduce it.
Reprints
For papers accepted by the Southern Medical Journal, authors will receive reprint order forms and prices before publication.
Review
Manuscripts are reviewed by the editors and by outside reviewers. In order to ensure impartial review, the names and institutions of the authors are not released to the reviewers. The name(s) of the reviewer(s) will not be released to the authors unless specifically requested by the reviewer. Authors may suggest reviewers who are not from the same institution or locality as the authors. Authors are notified of the disposition of their paper as soon as possible. Delays are occasionally unavoidable due to the review process.
Decision to Publish
The Editor's decision is mostly based on peer reviewers' recommendations, but other factors independent of the quality of the work may also influence the decision, such as the topicality of the subject addressed, whether a similar paper has been published recently or is being considered for publication, and the backlog of accepted articles. The Editor determines whether the reviewers' comments will be passed on to the authors. The Editor's decisions concerning acceptance/rejection of submitted articles and sharing reviewers' comments with the authors are final. No correspondence will be entered concerning the reasons for rejecting an article. The identities of the peer reviewers are kept confidential.
Manuscript Submission Checklist
The following requirements must be met, or the article will be returned to the corresponding author:
- 3 Copies of the manuscript, typed double-spaced, including text, references, tables, figures, and legends.
- Covering letter designating a corresponding author and supplying complete contact information.
