Instructions to Authors

 

Article Preparation and Submission

Q. How do I submit my paper for review, or for publication?

A. Visit the IEEE Author Digital Toolbox, which provides general guidelines regarding the submission of text and graphics, as well as templates, and instructions on how to submit multimedia materials. Most of the information is in the form of a convenient, downloadable PDF file.

Q. I have a paper I would like to submit for publication, but I don't know which IEEE publication is appropriate. Can you help?

A. The Jourmals and Magazines page provides a listing of our publications and a link to each publication's web page. There, you will find the scope of each publication, contact information for obtaining more details, the frequency of its publication, a description of the topics covered, associated page charges, and contact information such as the Editor-in-Chief, or associate editors. Some publications also supply a link to their Society's web site for more specific information regarding that publication's review and submission processes.

Q. Would you please send me an author kit?

A. Download the most up-to-date version of our "Information for Authors" kit.

Q. Is there a template available for my specific publication?

A. The IEEE provides LaTeX and Word templates that can be used for all final submissions. In addition, the IEEE Transactions On Magnetics has supplied a Word template for creating submissions to TMAG. All of these templates are available for download at the IEEE Author Digital Toolbox page.

Some publications do provide information to their authors that is more specific than the IEEE's general guidelines and in some cases customized templates and instructions are provided as well. For links to individual transactions, journals, and letters web pages, please go to the Journals and Magazines page.

Q. I am about to submit my paper for publication and it is in FrameMaker. Is this acceptable? What other formats may I submit my paper in?

A. IEEE accepts TeX, LaTeX, Word, FrameMaker, and Rich Text Format (RTF).

Q. What are the acceptable formats for submitting graphics for my paper?

A. IEEE accepts Word, PowerPoint, Excel, and PDF files for graphics submission. High-resolution JPGs are acceptable for author photos only (we also continue to accept Postscript, EPS, and TIFF). As part of the production process, all grayscale figures and line art are converted to TIFF format.

Image quality is very important to how the graphics will reproduce. Even though IEEE can accept many formats, we generally cannot improve the graphics if they are poor quality when we receive them. If you need further help or have questions, please e-mail graphics@ieee.org.

Q. I'd like to have some or all of the figures in my paper in color. How can I determine what those charges will be beforehand?

A. The following are the basic charges for color:

$1,045.00 US for printing charges (four or fewer color pages)
$2,090.00 US (four to eight pages)
$3,135.00 US (nine to twelve pages)
$125 US per color image (i.e., if you have two color figures the charge would be $250 US,  $1,045)

Please note that these are costs for color printing and DO NOT include page charges or reprint charges, which must be paid separately. Once your paper is received at the IEEE, a staff editor will contact you with specific instructions on how to procedd with color figures.

If your decision is to include color graphics, we will require that you send us as soon as possible, a faxed copy of the purchase order reflecting the amount due or an email with the following details of your credit card: Name as it appears on credit card, credit card number, type of credit card (Visa/ Mastercard etc.) expiration date, and amount to be charged.

We require that you notify us, as soon as possible, if your decision is to have all graphics in black and white.

Color art can be processed only after we receive either the purchase order or the credit card details.

Q. What are the publication charges associated with my accepted paper?

A. The answer depends on your publication's page charge policy, including any overlength charges. To find out this information, download " Instructions for Authors on Reprints and Special Charges" It also depends on how many reprints you order, and of course any color charges if you have figures in your paper that you choose to have printed in color.

If your journal has overlength page charges, then you will need to estimate the number of pages in your paper. The number of pages can be estimated two ways: counting all the pages in your submitted work (including figures, pages of text, pages of figure captions, references, bios, author photos, etc.) and divide the total by 3. Or, you can use the IEEE style template to preformat your work, including figures and tables, in order to give you a more accurate page estimate.

Q. May I have an update as to the status of my submitted paper?

A. Please contact the editorial office of the journal to which you submitted your work for information regarding where it is in the submission process.

Q. Where can I obtain a list of keywords to include in my paper?

A. Send a blank email to keywords@ieee.org to receive a list of suggested keywords


 

Manuscript Proof Procedure

Q. When will my paper be available for my review?

A. Please email trans@ieee.org or your staff editor and we will provide the status.

Q. What form will my proof copy take? Will it be emailed to me?

A. Your proof will be in IEEE format, and once your paper is ready for review, you will receive an email notification that contains a unique weblink, login ID, and password. Once you log in to the website, you will have access to a high-resolution PDF for download and review. Please note that unless requested by the corresponding author, proofs are sent only this way, not by fax or regular mail.


 

Post-Publication and Reprint Information

Q. I have not yet received the reprints of my paper. Whom can I contact to find out their status, or for a problem or question I have regarding my invoice?

A. You may send an email to reprints@ieee.org for information regarding your reprints. Please supply the six-digit digital object identifier (DOI) number located at the top of the reprint form, and the bottom of your paper's first page.

Q. My paper is not yet posted on IEEE Xplore. When will it be posted?

A. Please contact onlineproducts@ieee.org for questions regarding the IEEE Xplore digital library.

Q. What is the current IEEE policy regarding article-by-article posting, also known as "Rapid Posting," and when the papers will be available online?

A. Rapid Posting is simply the early online publication of your work in the IEEE Xplore digital library prior to it appearing as a printed paper. These papers typically appear under the "Forthcoming" section on publications' web pages. Since not all journals participate in Rapid Posting, you will need to seek out the web page for a particular publication to see whether they have Rapid Posting available. For more information, you can also contact your staff editor or your editor-in-chief.

Q. Once I see my paper in the IEEE Xplore digital library, and I see an error I forgot to correct in the review stage, what can I do?

A. IEEE policy is that the version in the IEEE Xplore digital library is the version of record, and can not be changed. If you feel the oversight affects the accuracy of your work, then you will need to contact the staff editor who sent you the proof copy and ask that a correction be run in a subsequent issue of the publication.

Q. When will my paper be available in print? Also, when will my printed, bound copy arrive? Will all my co-authors receive copies as well as myself?

A. Please email to: trans@ieee.org or your staff editor and we will provide the status. You will need to check the web page for your publication to find out whether your co-authors will receive complimentary copies of the printed publication.

Q. How do I subscribe to a publication?

A. Contact the Customer Service Department of the IEEE at customer-service@ieee.org

Q. I have some material in my paper that has been used in a non-IEEE publication. Do I need formal permission to print this material in my IEEE paper?

Q. I have read a published paper and I think there are errors in it, specifically with the technical content or calculations made by the author. Who should I contact should I wish to submit a letter pointing out the error, and suggesting a correction to the information be made?

A. Please go to
the journals and magazines listing page for contact information on each publication.

Q. My address has changed. How do I ensure that a copy of my paper gets mailed to me?

A. Email trans@ieee.org or your staff editor stating the title of your paper, the Digital Object Identifier (DOI), if known, and your new address.
