About the journal

The Journal of Occupational and Environmental Hygiene is an international, peer-reviewed, professional journal published monthly by JOEH, LLC, a partnership of the American Industrial Hygiene Association (AIHA) and ACGIH?/SUP>(American Conference of Governmental Industrial Hygienists Inc.). JOEH focuses on original studies that enhance the knowledge and practice of occupational and environmental hygiene and safety. The journal provides a written medium for the communication of ideas, methods, processes, and research in the areas of occupational, industrial, and environmental hygiene; exposure assessment; engineering controls; occupational and environmental epidemiology, medicine, and toxicology; ergonomics; and other related disciplines.

Only original manuscripts will be considered. Previously published manuscripts or those currently under consideration by another journal will not be considered. If your manuscript was previously posted to the Web, not as part of an electronic journal, please provide a link to the online paper to JOEH Editor-in-Chief Mike Morgan. Depending on the nature of the website to which the manuscript was posted, Dr. Morgan may contact you with questions.

Manuscripts submitted to JOEH will be peer-reviewed in a single-blind review format. The single-blind process allows reviewers to know the identity of authors; however, authors will not know the identity of reviewers. The authors are expected to respond to all reviewers' comments and to incorporate any changes into the revised manuscript. These responses then become a part of the manuscript; the author is responsible for all statements made in the manuscript. If accepted, manuscripts will be published at the earliest possible date. Note that JOEH is published on an e-first schedule, meaning that articles will be published online as soon as they are edited and laid out and author corrections are made; publication in the print JOEH may be somewhat later, depending on space available in each issue.

Any hard copy materials submitted in connection with a rejected manuscript will be returned to the author upon request. JOEH assumes no responsibility for loss.

Instructions to Authors

Preparation of Manuscripts

A. General

Only individuals who have substantially contributed to the research or preparation of the intellectual content of the manuscript should be listed as authors. The acquisition of funding for the project, collection of data, or administrative supervision ordinarily should not, by itself, qualify for authorship (see "Acknowledgments," section II. C. below).

All copy should be in English. All elements of a manuscript (except signed copyright forms, which must be mailed or faxed, or scanned in with signatures and e-mailed) will be uploaded through our online manuscript submission and tracking center, available at http://mc.manuscriptcentral.com/joeh. (See section III. A. for details.)

Authors performing human subjects research must indicate institutional review board approval, including informed consent/assent declarations, with manuscript submission. JOEH will not publish any research that involves humans as subjects without a signed statement from the author attesting to institutional review board approval of the research. (Research that involves monitoring or studying employees in the workplace environment, and that can be considered part of the employer's existing responsibility to provide a workplace free of recognized hazards to health and safety, does not require such approval.) B. Organization of Text

Organize the text of the manuscript in sections, generally including introduction, methods, results, discussion, conclusions, and recommendations if any.

The introduction should summarize the purpose and rationale for the study, citing pertinent references. Do not include data or discussion of the work being reported in this section.

The methods should contain sufficient detail to allow other investigators to reproduce the study. If published methods are used, they may be cited and described very briefly. Methods used to select subjects and controls should be included. The manufacturer of major equipment and supplies critical to the methods should be given in parentheses (company, city, state or country). Statistical methods used should be described this section or in the results section, whichever is more appropriate.

Results may be presented in text supplemented by tables and figures; note that all tables and figures should be numbered and referred to sequentially in the text. Extensive data or spreadsheets can be uploaded as supplemental files; while they will not appear in the print journal, they will be available as part of the electronic journal if the paper is accepted for publication.

The discussion should include an evaluation of the hypotheses tested in the investigation and consideration of how the results contribute to the field and support or refute other studies. Where appropriate, the limitations of the study and their impact on the conclusions should be stated. The implications of the findings, along with the authors' opinions, may be presented; however, care should be taken to qualify statements unsupported by the data. If you must use quotations in the text, please cite them in the references with page numbers.

Use jargon with care, and define abbreviations using parentheses; for example, "industrial hygiene (IH)." Avoid using a conversational style in writing. Expressions such as 'hands-on' or 'for a long time' are fine in talks but not in research papers. The JOEH reserves the right to edit material to improve readability, decrease verbosity, or eliminate redundancies.

The conclusions of the study should be presented concisely and should be supported by the data. Recommendations, if included, should show how the information can be used directly by occupational and environmental hygienists to solve problems in, or arising from, the workplace.

Headings should precede each section, placed at the left margin of the text. Capitalize all primary words. Use boldface for headings and italics for sub-headings. Up to three levels of subheadings may be used. Do not use footnotes; rather, incorporate information in the text or in the references.

C. Acknowledgments

Individuals whose support and cooperation were essential in accomplishing the research, but who do not qualify for authorship, may be acknowledged. Authors should clearly indicate the project's source of funding. This will normally be a funding agency or an employer. However, if the work was commissioned by a separate party, the source of funding or in-kind support must also be clearly identified. This section may also be used for any disclaimer or special notes about the paper.

Acknowledgments must be typed on a separate page and placed at the end of the manuscript.

Authors should submit a letter to the editor in chief disclosing any potential conflicts of interest that may arise upon publication of a submitted manuscript. (This can be included in the manuscript cover letter; see III. A. 5. below.) Such potential conflicts of interest may include, but are not limited to, any significant financial support obtained from organizations outside of the authors' affiliations. The editor in chief will determine whether such information must be disclosed when publishing the manuscript.

D. Measurement Units

Measurements that are normally expressed in English units (e.g., feet per minute) should also be expressed in metric units. However, measurements traditionally shown in metric units need not be converted to English measure equivalents.

Abbreviate units of measure.

E. Equations/Formulae

Equations are to be numbered sequentially using Arabic numerals enclosed in parentheses, flush right on the same line as the equation. We recommend that authors use the mathematical equation typographic systems built into Word or Wordperfect. While they may take time to learn, they produce a more readable equation that is much easier to proofread and to edit.

F. Tables

Tables should present important summaries or typical examples. Avoid lengthy, highly detailed tables. Each table should be uploaded as a separate document (see section III. A. 6. below). Tables created as Excel documents do not always upload properly onto our manuscript submittal system (see section III. A. 6. below); while there are ways to get around this issue, it may be easier for you to create the table in another program. The number of tables should be kept to a minimum and information should be incorporated into text wherever possible.

Use Roman numerals to identify tables. Follow the table number with a descriptive title.

If footnotes are used with tables, each should be identified with a superscript capital letter.

G. Figures

Figures contain artwork-illustrations, bar graphs, photographs, or anything not reproducible by type alone and must be numbered sequentially in Arabic numerals. Figures should enhance the text material.

Figure captions should be formatted as in this example:

When submitting electronic figures, each figure must be uploaded as a separate file, and should not be embedded in the main document. (It is important that the file be in its original format, i.e., the format in which it was created. For example, do not import a .tif graphic file into a Microsoft Word document; submit the original .tif file.)

Figures must also be in a standard format, such as .tif or .jpg. PowerPoint presentations will not be accepted. Please DO NOT submit figures in this format. We recommend that you avoid creating figures as Excel documents, as Excel files do not always upload properly onto our manuscript submittal system (see section III. A. 6. below). Electronic figures should be saved at a resolution of 300 dpi or higher.

H. References

In general, only published, accessible peer-reviewed references may be used. Requests for exceptions will be considered by the editor in chief in unusual cases where they are considered essential by the author. Extreme care should be taken when citing non-peer-reviewed material.

Any unpublished data (including company-specific literature) must be sent to the editorial office prior to acceptance of your manuscript. If website addresses are used as references, paper copies of the data obtained from those sites must be provided since web addresses change periodically.

Avoid citing a "personal communication" unless it provides essential information not available from a public source. In this case the name and affiliation of the person and the month and year of the communication should be cited in parentheses in the text. Personal communications are not included in the reference list.

References should be numbered sequentially in order of citation. They must appear in the text as superscript Arabic numerals enclosed in parentheses and placed to the right of any punctuation. Multiple, sequential references may be cited using the first and last number [e.g., (4-8)]. Publication titles and dates should not be used in the body of the text. References in text should be cited only by superscript number or by author's name and superscript number. Since each reference is cited by the same number each time, "ibid" and "op. cit." need not be used. "Et. al." is acceptable within text; for example, "Smith et. al.(4) found ?

All references should be numbered and listed in the order cited in the text. The corresponding author will be asked to supply any missing bibliographic information.

For multiauthored articles, list up to six names; for articles written by more than six authors, list the first three, followed by "et al."

Examples of reference citations in the proper format are presented in the "Reference Citation Formats" appendix.

I. Author Confidentiality

As of May 2004, JOEH has moved to a single-blind reviewing format. This process allows reviewers to know the identity of authors; however, authors will not know the identity of reviewers.

III. Submission

A. Manuscript Submission Procedures

The JOEH online manuscript submission and tracking system is available at http://mc.manuscriptcentral.com/joeh. All manuscripts must be submitted through this system; no hard copy manuscripts will be accepted. If you are unable to access the website, contact Scholar One's help personnel at (434) 817-2040 x 167 or mc3support@ScholarOne.com. The Scholar One system provides best results when using an Internet Explorer or Safari browser.

If you have not submitted a manuscript through our system before, follow the system prompts to create an account for yourself by clicking on "Create Account." If you have used our system before, enter your username and password, and then click on "Corresponding Author Center."

To upload a new manuscript for review, click on "Submit a Manuscript" (or, in your Author Resources box, click where it says "Click here to submit a manuscript"). There are seven steps in the submission process; each is explained below.

At any time, you may log out of the system and return later to complete the submission process. To open a manuscript and complete the submission process, click on "Unsubmitted Manuscripts" under "My Manuscripts."

Please note: To complete the submission process through Scholar One, you must view a .pdf file of your manuscript (this version is created automatically by Scholar One). To ensure that you are able to view this file, you must turn off any pop-up blocker that is currently installed on your computer.

1. Type, Title, and Abstract

Select a manuscript type: technical manuscript, column, letter to the editor, commentary, review, meeting summary, topical review, monograph, or supplement.

Most papers will be technical manuscripts. For more information on meeting summaries, topical reviews, monographs, and supplements, see our Proceedings and Special Issues Policy.

Enter the title of your paper in the "Title" box. You will note that throughout the manuscript submission process, special characters (such as Greek symbols) must be inserted by clicking on the "Special Characters" button.

In the "Abstract" box, enter a one-paragraph abstract (maximum length: 500 words). The abstract must include the purpose of the work, a brief description of methods, a concise summary of results, and a short statement of conclusions. Do not cite references or use abbreviations or acronyms in the abstract.

2. Attributes

Under "Keyword," enter a minimum of three, but no more than six, key words or short phrases that will assist in cross-indexing the article.

3. Authors and Institutions

The system will automatically enter your name and e-mail address under "Author Information" and will automatically make you "Author 1" unless you specify otherwise.

To enter additional authors, enter the e-mail address, salutation, first name, last name, institution, department name, country, city, and state of each author you wish to add. If an author has multiple institutional affiliations, click on the link that reads "If you have multiple Institutions and Departments for this author, click here" to add his or her additional affiliations.

If a contributing author has already created an account for himself or herself, you may enter his or her email address and click on "find" to automatically pull up the stored information.

4. Reviewers

JOEH strongly encourages you to nominate individuals who might contribute to the vigorous peer-review of occupational and environmental health and safety-related papers. Providing names of additional peer reviewers strengthens the resources available to the JOEH and helps to shorten review times for all authors.

If you would like to suggest individuals who might be good reviewers for the JOEH, please enter their names, e-mail addresses, institutions, departments, and phone numbers on the "Reviewer" screen.

You may designate some or all of them as preferred reviewers. While our editor in chief will take this into account, we cannot guarantee that any of them will serve as reviewers for your paper.

If you do not wish to suggest any reviewer names, skip ahead to the next screen.

5. Details and Comments

The cover letter for your manuscript can be typed or pasted into the "Cover Letter" window, or it can be uploaded as an attachment if you prefer. To upload an attached file as your cover letter, click on the "Browse" button to select the file you wish you attach and then be sure to click "Attach This Cover Letter" so that the file will be uploaded. Be sure to detail any potential conflicts of interest or issues with regard to confidentiality (see sections II.C. and II.I., above).

Under "Manuscript Information," please enter the number of tables and number of figures. The "number of manuscript pages" should be the number of pages in your document, to give the editorial office an idea of how long a document to expect-we are aware that this varies a great deal between computer systems.

If your manuscript is new and not under consideration for publication in any other journal, and has not been published elsewhere previously, check the top box to indicate this. If your manuscript has been published previously or is under consideration for publication in another journal, it will not be considered by the JOEH (see section I, above).

Review the Instructions for Authors (the document you are reading now) and, if you agree to them, click the appropriate box.

If you have not done so already, download and fax a signed copyright release form to the JOEH Editorial Office at (206) 685-3250 and click the appropriate box to indicate such. Please note: Manuscripts will not be processed by editorial staff or enter into review without receipt of a signed copyright release form.

Click "yes" or "no" to indicate whether you are willing to serve as a reviewer for the JOEH. If you are willing to serve as a reviewer, a Reviewer Center will be added to your account in our manuscript submission and tracking system.

6. File Upload

The next step is to upload your main manuscript document (including text of article, acknowledgments, references, and appendixes, but not title, author information, keywords, or abstract, which have already been entered into the system in Steps 1-3), figures, tables, and supplemental files such as extensive data sets or spreadsheets to the system. Please break your figures and tables into individual files and do not include them in the main manuscript document. If you do not wish to separate each file from the text, you may upload the entire document as a single PDF file. If you choose to do this and the article is accepted for publication, you will be asked to forward your final manuscript files in a non-PDF format before production can begin on your article.

You may upload as many files as needed for your manuscript; we recommend uploading in groups of three or fewer for optimum system performance. These files will be combined into a single PDF document for the peer review process.

If you are submitting a revision, please include only the latest set of files. To designate the order in which your files appear, use the dropdown menus in the "order" column. The main document should be Item 1, followed by figures, tables, and supplemental files.

After each file is uploaded, a pop-up window will ask you to confirm the information about the file. If you upload tables or figures, you will be asked to provide the table/figure's designation (i.e., Table I, Figure 2) and you will also be asked to provide a caption. Use roman numerals for table designations and Arabic numbers for figure designations. Please note: To ensure that you are able to view this file, you must turn off any pop-up blocker that is currently installed on your computer.

After files are uploaded, you will see them added to the list of files included in your manuscript. You may view the file as HTML, a low-resolution PDF file, or a high-resolution PDF file; you may also edit the file information (such as the caption) or delete the file altogether at any time before final submission.

Please note: Our manuscript submittal system recognizes Excel files as text documents; therefore, tables and figures in this format may not upload correctly. If you experience this, simply paste the contents of the document into Microsoft Paint (available through the Windows Start menu under Programs, Accessories, Paint). This will convert your data into an image file, which then may be uploaded without any change in appearance. Once your article is accepted, we will work with you to acquire the original Excel files for production purposes.

We are currently working with Scholar One to resolve this problem, but in the meantime, please avoid using Excel files or convert your files by the method above. 7. Review and Submit

This is the final step before submitting your manuscript. Review page carefully and edit any information that is incorrect or out of date.

You must view and approve either a low- or high-resolution PDF proof of your manuscript before submitting your paper. To ensure that you are able to view this file, you must turn off any pop-up blocker that is currently installed on your computer. Clicking on "View MedLine format" will show you how your paper would be cited on MedLine.

If everything is correct, hit "submit." You should see a pop-up window with a submission confirmation, including your manuscript number. All correspondence or contact regarding a manuscript should mention this control number, the corresponding author's full name, and the title of the manuscript.

B. Hard Copy Materials If any of your figures or supplemental materials must be submitted in hard copy, send them to Rachel Parsons at the JOEH Editorial Office, 2700 Prosperity Avenue, Suite 250, Fairfax, VA 22031. Please include a cover letter with your figures specifying the title and corresponding author of the manuscript to which the figures belong. Disks and hard-copy figures will be returned only if the author provides a self-addressed, stamped envelope.

Signed statements of institutional review board approval and signed copyright forms should be mailed to the editorial office or faxed to (206) 685-3250. Please note: Manuscripts will not be processed until copyright release forms have been received by editorial office.

IV. Manuscript Processing and Tracking

Manuscripts are initially reviewed by the editor in chief and may be rejected if technically inadequate or inappropriate for the JOEH. Manuscripts passing initial review will be peer-reviewed by at least two individuals. Reviews are conducted using a single-blind technique whereby reviewers' identities are concealed. Reviewers' comments are provided to authors, as well as to the editor in chief, who retains final approval authority.

If at any time you wish to check on the status of your manuscript, simply log into the JOEH manuscript submission and tracking system at http://mc.manuscriptcentral.com/joeh. Click on "Corresponding Author Center," and you will see a box labeled "My Manuscripts." This box summarizes how many manuscripts you have at various stages of review (unsubmitted, submitted, manuscripts with decisions, etc.)

To view the status of a submitted but not yet accepted manuscript, click on "Submitted Manuscripts." This will show you a list of manuscripts, the date of submission of each, and their current status. If you have a question, click on the name of the editor in chief or editorial office representative shown, and a box will automatically pop up to assist you in sending him or her an e-mail.

V. Copyright Assignment

Under provisions of the Copyright Revision Act of 1976, JOEH, LLC, must obtain a copyright transfer for each accepted article. Please send the signed form at the time of submission. Authors should read the information on the form and sign where indicated. No manuscript will enter the peer review process without a completed copyright transfer form; no exceptions can be made because of an author's temporary absence from his usual location or permanent change of location. If an author is deceased, the copyright assignment form must be executed by the legal representative (executor, administrator) of the estate.

If a submission is rejected, the copyright assignment will be voided.

If any figures or tables used in a manuscript are copyrighted material, the author(s) must include a copyright release form with the article showing permission for publication of the figure or table with the JOEH manuscript. Any costs associated with obtaining this copyright release are the responsibility of the author(s).

VI. Author Proofs

Only necessary corrections can be accepted once author proofs are prepared. The term "necessary corrections" includes typographical errors or errors of scientific fact. Failure to return proofs by the deadline may result in delayed publication or release for printing without incorporation of the author's corrections. Charges for author alterations above minimum standards will be billed to the author(s). The author is responsible for all statements made in the final proofs, including changes requested by reviewers or editors.

VII. Retention of Data

Authors are expected to retain all raw data for a minimum of three years following publication. Authors should be willing to provide such information to other investigators interested in reproducing their research. The editor in chief may also request that authors supply this information should the veracity of the data ever be questioned.
