Instructions to Authors
Information For Authors
Electronic Manuscript Submission is the preferred mode of submission to the Journal of Occupational and Environmental Medicine. To submit your manuscript, e-mail the following files to the Editorial Office:
- Transmittal letter with name and complete address, including e-mail, of the corresponding author.
- Manuscript saved in MS Word or WordPerfect for PC.
Submit both files to: articles.joem@verizon.net. If some components of the manuscript—such as tables and figures—cannot be sent by e-mail, please submit the complete article in hard copy and include a diskette. Instructions for hard copy submission follow the Copyright Assignment form below.
Review and Revision Process: The Editor reviews all articles within 2 weeks of receipt. If provisionally accepted, articles are sent to outside reviewers who often suggest revisions before an article's final acceptance. Once those revisions are complete and approved by the Editor, the corresponding author will be notified that an article is ready for production.
Upon Final Acceptance of an Article, authors are asked to submit the following:
- Final electronic version of the manuscript to articles.joem@verizon.net.
- Copyright Assignment and Financial Disclosure form with original signatures of all authors to Journal of Occupational and Environmental Medicine, 605 Worcester Rd., Towson, MD 21286-7834.
Copyright Assignment: When manuscripts are accepted for publication, it will be necessary to transfer full copyright to the American College of Occupational and Environmental Medicine. Authors should complete the following copyright assignment form or obtain a form at www.joem.org under Author Guide.
COPYRIGHT ASSIGNMENT AND FINANCIAL DISCLOSURE FORM
Hard Copy Submissions: Electronic submission is the preferred method, but if hard copy submission is necessary, please include the following:
- Two printed copies of the complete manuscript.
- Two sets of original figures.
- Diskette containing the manuscript, tables, and figures.

Manuscripts, including References, Footnotes, and Legends for illustrations MUST BE TYPED DOUBLE-SPACED with 1?inch margins on the top, bottom, and both sides of each page. Number each page, including tables.
Authors MUST provide a short running title of no more than 50 characters, including spaces.
The title page should include each author's full name, highest academic or medical DEGREE, and current position and, for the corresponding author, complete mailing address, including ZIP code. Letters indicating membership in honor or professional societies will NOT be published. If an author's present affiliation is different from the affiliation under which the work was done, list both. A footnote should contain information about research support and acknowledgment.
The Transmittal Letter: A transmittal letter designating one author as correspondent should accompany the manuscript.
Abstract/Synopsis: An abstract or synopsis covering the main points of the article should accompany each manuscript. In preparing the abstract/synopsis, authors should answer the following questions:
- What was the problem?
- How did you go about solving it?
- What did you find?
- What did you learn?
The outline for the abstract/synopsis, therefore, is: Problem, Method, Results, and Conclusions. The abstract/synopsis must be typed double-spaced and should never exceed 135 words in length.
References must be numbered and cited CONSECUTIVELY in the text. At the end of the manuscript, references must be listed on a separate page and DOUBLE-SPACED THROUGHOUT, in the numerical order in which they are first cited in the text. Personal communications and unpublished data should not be included in the list of references. References must include the names of the first six authors. Punctuation is shown in the following examples:
Journal Articles: Surname and initials of author(s), title and subtitle, name of journal, year, volume number, first and last page. If there are more than six authors, give the names of the first three, followed by “et al.?

Books: Surname and initials of author(s), title and subtitle, edition number (other than first). City, publishing house, year, and page(s) of specific reference.

Article or Chapter in a Book: Surname and initials of author(s), title of article or chapter, surname and initials of editor(s), title of book, edition (if other than first). City, publishing house, volume number (if any), year, pages.

Tables should be self-explanatory and should supplement, not duplicate, the text. Each table must be typed, DOUBLE-SPACED, on a separate page. Each table must have a title and be numbered consecutively and cited in the text.
Figures consist of all material that cannot be set in type, such as photographs, line drawings, graphs, charts, and tracings. Omit all figures that do not increase understanding or that repeat information given in the text. Each figure should be numbered consecutively and cited in the text; symbols, abbreviations, and spelling should be consistent. Charts and graphs may be submitted as high-contrast, glossy prints of the original art work, providing the glossy is line sharp. Drawings and graphs should be drawn in india ink on illustration board. Lettering on the graphs should be caps and lower case, large enough to permit reduction to journal column widths. Each illustration must have a descriptive legend that, generally, should not exceed 40 words in length. Legends should be typewritten, DOUBLE-SPACED, on 8.5 x 11" paper and identified by number. Do not attach legends to art or prints, and do not make the legend part of the graph illustration. Do not mount prints. A title for identification may be part of the graph, but do not include the figure number in the graphs. Identify each figure with a label affixed to the back giving the number, author's name, title of manuscript, and an arrow indicating TOP. Submit TWO COPIES of each illustration.
Author Responsibility: Authors must obtain written permission from the copyright owner (usually the publisher) for the use of tables, illustrations, or extensively quoted material that has previously appeared in another publication.
Letters to the Editor: Must be DOUBLE-SPACED. Include name, degree, current position, and complete mailing address, including ZIP code. Letters to the Editor must have a title so that they can be properly indexed. Submit by e-mail to articles.joem@verizon.net. If submitting hard copy, include file of letter on diskette and send to the Journal office at 605 Worcester Rd., Towson, MD 21286-7834.
Page Proofs/Electronic Proofs: Authors who provide an e-mail address will receive a notice that electronic proofs of their article can be downloaded from a specific URL site, with instructions for downloading. Authors should carefully read the proofs, correct any inadequacies or inaccuracies, and answer all queries. Only minor corrections are permitted; authors will be charged for excessive changes. Within 48 hours, corrections or approval should be sent to the Journal Production Editor, as indicated in the e-mail notice; a message summarizing the corrections may be sent by e-mail or fax, or a printout of the page proofs may be sent by express mail. Authors who do not provide an e-mail address will receive paper proofs by mail, which should be read, corrected, and returned to: Journal Editing, Lippincott Williams & Wilkins, 351 West Camden Street, Baltimore, MD 21201-2436.
Reprints: Order forms will be supplied with galley proofs. No reprints are supplied free of charge.
